Polylogic AI ("we," "us," or "our") operates the website at polylogicai.com and provides AI-powered software services for businesses. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

2. Information We Collect

Information you provide

  • Contact information: Business name, email address, and website URL submitted through our demo request form.
  • Chat conversations: Messages you send through our live demo or any software we deploy for your business.
  • Business information: Details about your business provided during onboarding to build your custom software.

Publicly available business information

  • Social media profiles: With your authorization (for example, when you submit your handle on our try flow), we collect publicly available business information from your social media profiles, including business name, bio, post content, contact details listed in your public bio (such as an email), and media. This data is used solely to train your AI agent and is not shared with third parties for their own marketing.
  • Website content:We analyze your publicly available website content to build your AI agent's knowledge base.

Information collected automatically

  • Analytics data: We use Vercel Analytics to collect anonymized usage data including page views, referral sources, and device type. Vercel Analytics does not use cookies for tracking and is privacy-focused.
  • Cookie consent preference:We store your cookie consent choice in your browser's localStorage to remember your preference.

3. How We Use Your Information

  • To provide and operate our AI-powered software services.
  • To respond to your inquiries and build custom demos.
  • To process data through multiple AI providers including OpenAI, Groq, xAI, and Anthropic to generate responses, validate quality, and perform analysis. Each provider processes only the data necessary for their specific function.
  • To analyze conversation patterns and topics to improve software quality and surface insights for the businesses we serve.
  • To improve our website and services through anonymized analytics.
  • To communicate with you about our services.
  • To detect and prevent fraud or abuse of our services.

4. Third-Party Services

  • Apify:When you use our Instagram handle demo, we send the username to Apify's cloud so their automation can retrieve public Instagram profile fields and a limited set of recent posts. Apify processes this request according to their privacy policy. We do not grant Apify independent use of your data beyond providing that retrieval service to us.
  • OpenAI:Chat messages are processed through OpenAI's API (GPT-4o, GPT-4o-mini) to generate AI responses. OpenAI processes this data according to their Enterprise Privacy Policy. API data is not used for model training.
  • Groq:We use Groq's API (Llama 3.3) for research validation and quality evaluation. Data sent to Groq is limited to content being evaluated and is processed according to their privacy policy.
  • xAI:We use xAI's API (Grok 3) for fact-checking and content verification. Only the content being verified is sent to xAI.
  • Anthropic:We use Anthropic's API (Claude) for advanced analysis tasks. Data sent to Anthropic is limited to the content being analyzed and is processed according to their privacy policy.
  • Vercel: Our website is hosted on Vercel. Vercel Analytics collects anonymized, privacy-friendly usage data.
  • Supabase: We use Supabase as our database provider to store lead information and chat data securely.
  • Stripe (stripe.com) -- Payment processing. When you subscribe to our services, your payment information (name, email, billing address, and payment method) is collected and processed by Stripe. We do not store credit card numbers on our servers. See Stripe's privacy policy at stripe.com/privacy for details on how they handle your payment data.

5. Cookies and Local Storage

We use minimal browser storage:

  • Cookie consent preference: Stored in localStorage to remember whether you accepted or declined cookies.
  • Vercel Analytics:Vercel's privacy-focused analytics does not use cookies. It collects anonymized data without tracking individual users across sessions.

You can clear your localStorage at any time through your browser settings. Declining cookies does not affect the core functionality of our website.

6. Data Retention

  • Lead information: Retained for 12 months or until the client business terminates their service, whichever is sooner. You may request deletion at any time; we process deletion requests within 30 days.
  • Chat conversations: Retained for 90 days to maintain conversation history and provide service insights for the client business, then automatically deleted. Conversations are never used for AI model training or fine-tuning. You may request deletion at any time.
  • Conversation analytics: We may analyze conversation topics, patterns, and outcomes to help client businesses understand how their customers interact with the software. This analysis is provided exclusively to the client business and is not shared with third parties.
  • Social media and website data: Business content collected from your public profiles and website is retained for the duration of your service agreement. Upon termination, this data is deleted within 30 days. You may request deletion at any time.
  • Analytics data: Vercel Analytics data is aggregated and anonymized. No personally identifiable information is retained.

7. Education Clients and FERPA

For clients that are educational institutions:

  • We comply with the Family Educational Rights and Privacy Act (FERPA) requirements.
  • We do not collect, store, or process student education records.
  • AI agents built for educational institutions are trained only on publicly available institutional information.
  • We will execute Data Processing Agreements (DPAs) with educational institution clients upon request.
  • If an educational institution client requires additional data handling safeguards, we will work with the institution to meet those requirements.

For all users

California residents (CCPA)

Under the California Consumer Privacy Act, you have the right to:

  • Know what personal information we collect about you.
  • Request deletion of your personal information.
  • Opt out of the sale of your personal information. We do not sell personal information.
  • Not be discriminated against for exercising your rights.

European residents (GDPR)

If you are located in the European Economic Area, you have additional rights including:

  • The right to data portability.
  • The right to restrict processing of your data.
  • The right to object to processing of your data.
  • The right to lodge a complaint with a supervisory authority.

We implement appropriate technical and organizational measures to protect your personal information. All data is transmitted over encrypted connections (HTTPS). However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

In the event of a data breach affecting your personal information, we will notify affected individuals within 30 days via email (if available) or by posting notice on our website.

Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it.
