1. Agreement to Terms

By accessing or using the services provided by Polylogic AI ("we," "us," or "our") at polylogicai.com, you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use our services.

2. Description of Services

Polylogic AI provides custom AI-powered software for businesses. Our services include:

  • AI-powered software built on your business information to serve your customers.
  • Lead capture functionality that collects visitor information and delivers it to your inbox.
  • Embeddable chat widgets for your website.
  • Ongoing software maintenance, updates, and support based on your plan.

2.1 Knowledge Base Building

We build your AI agent's knowledge base by analyzing your publicly available website content (up to the page limit of your plan). With your authorization, we may also analyze your public social media profiles, including business name, bio, post content, and media. You may also provide content directly. All collected content is stored securely, used solely to train your AI agent, and is not shared with third parties. You may request deletion of any collected content at any time.

2.2 Try experience (public social handle)

If you use our public "try" experience and enter a social handle (for example, Instagram), you represent that you own that account or have authority to request analysis of that public profile on behalf of the business. You agree not to use the tool to harvest or analyze third-party accounts you do not represent.

3. User Accounts and Responsibilities

When using our services, you agree to:

  • Provide accurate, current, and complete information about your business.
  • When submitting a social handle for analysis, only submit handles for accounts you own or are authorized to represent.
  • Maintain the security of any credentials or access we provide.
  • Notify us promptly of any unauthorized use or security breach.
  • Not use our services for any unlawful purpose.

4. Acceptable Use

You agree not to use our services to:

  • Distribute harmful, abusive, defamatory, or illegal content.
  • Impersonate any person or entity, or misrepresent your affiliation with any person or entity.
  • Attempt to gain unauthorized access to our systems or interfere with the proper functioning of our services.
  • Use the software to collect sensitive personal information (such as Social Security numbers, financial account numbers, or health information) without proper safeguards and consent.
  • Transmit malware, viruses, or any code designed to disrupt, damage, or limit the functionality of our services.
  • Reverse-engineer, decompile, or disassemble any part of our services.

5. AI-Generated Content

Our software generates responses using artificial intelligence through multiple providers, including OpenAI (GPT-4o, GPT-4o-mini), Groq (Llama 3.3), xAI (Grok 3), and Anthropic (Claude). We use these providers for chat responses, research validation, fact-checking, and advanced analysis respectively. While we train agents on your specific business information, you acknowledge that:

  • AI-generated responses may occasionally contain inaccuracies.
  • You are responsible for reviewing the accuracy of information provided to your customers through the software.
  • We are not liable for decisions made by end users based on AI-generated content.
  • The software should not be used as a substitute for professional advice (legal, medical, financial, etc.).
  • Chat messages are processed through third-party AI providers (OpenAI, Groq, xAI, and Anthropic). Your end users' messages leave your domain for processing and are subject to each provider's data policies. Each provider processes only the data necessary for their specific function.

5.1 Client Disclosure Requirements

If you deploy our software on your website, you agree to:

  • Clearly disclose to your end users that chat responses are generated by AI.
  • Include a link to Polylogic AI's Privacy Policy or include equivalent privacy disclosures on your site.
  • Inform end users that conversation data may be analyzed to improve your business insights.

5.2 Conversation Data and Analytics

We analyze chatbot conversations to provide you with business insights, including conversation topics, customer intent patterns, and response quality metrics. This data is provided exclusively to you as the client. We do not sell conversation data or share it with third parties beyond what is required for AI processing.

6. Payment and Billing

  • Services are billed monthly at the rate agreed upon in your selected plan.
  • All fees are non-refundable unless otherwise stated.
  • We reserve the right to change pricing with 30 days' written notice.
  • Failure to pay may result in suspension or termination of services.

All subscriptions automatically renew each month at the then-current rate unless cancelled. You may cancel at any time through the Manage Billing section of your dashboard or by contacting us at hello@polylogicai.com. Cancellations take effect at the end of the current billing period. You retain full access to your agent and dashboard until the end of the period you have already paid for. We do not provide prorated refunds for partial months.

7. Intellectual Property

  • You retain ownership of all business content and data you provide to us.
  • We retain ownership of our software, frameworks, and proprietary technology.
  • You grant us a limited license to use your business content solely for the purpose of building and operating your software.

8. Limitation of Liability

To the maximum extent permitted by applicable law:

  • Our services are provided "as is" and "as available" without warranties of any kind, whether express or implied.
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities.
  • Our total liability for any claim arising from or related to these terms shall not exceed the amount you paid us in the twelve (12) months preceding the claim.
  • We do not guarantee that our services will be uninterrupted, error-free, or free of harmful components.

9. Indemnification

You agree to indemnify and hold Polylogic AI harmless from any claims, losses, liabilities, damages, and expenses (including reasonable attorneys' fees) arising out of your use of our services, your violation of these terms, or your violation of any rights of a third party.

10. Termination

  • Either party may terminate the service agreement with 30 days' written notice.
  • We may terminate or suspend your access immediately if you violate these terms.
  • Upon termination, we will delete your business training data within 30 days, unless you request it sooner.
  • Chat conversation data is retained for 90 days to maintain conversation history and provide service insights, then automatically deleted. See our Privacy Policy for full data retention details.

11. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the Commonwealth of Pennsylvania, without regard to its conflict of law provisions.

12. Changes to These Terms

We reserve the right to modify these terms at any time. We will notify you of material changes by posting the updated terms on this page and updating the "Last updated" date. Your continued use of our services after changes constitutes acceptance of the revised terms.
